Terms of Service

Written in plain language so you know what you are agreeing to. Effective September 25, 2026.

1. Who we are

Bids2Bank is a software service operated by Bids2Bank, a Fundamentals Holdings entity ("Bids2Bank", "we", "us"). These terms are a contract between you (the person or company creating an account) and Bids2Bank. By creating an account or using the service you accept them.

2. What the service does

Bids2Bank helps you find government opportunities, organize evidence, draft proposal text with AI, check that text against the sources you supplied and the rules you selected, and record an approval before you submit. Bids2Bank does not submit anything to a government system on your behalf. You submit, and you are responsible for what you submit.

AI-drafted text can be wrong. Every sentence is labelled with its source, the rule it addresses and whether it passed our checks. A sentence that fails a check is sent to you, not into your proposal. You must still read and approve everything before you use it.

3. Your account

You must be at least 18 and authorized to act for the company on the account. Keep your password private and tell us at once if you think it has been used without permission. You are responsible for activity under your account and any API keys you issue.

4. Plans, billing and cancellation

Self-serve plans are billed monthly or annually in advance through Stripe at the price shown when you subscribe. Plans renew automatically until you cancel. You can change or cancel any time from My Plan & Billing; the change takes effect at the end of the current billing period and we do not refund partial periods unless the law where you live requires it.

Each plan has limits (for example the number of active pursuits and seats). We enforce those limits in the service. If we change a price, we will tell you at least 30 days before it applies to you.

Annual contracts for larger organizations are governed by a separate signed order form. Where that order form and these terms differ, the order form wins.

5. Your content

You own the documents, evidence, proposals and other material you upload or generate ("your content"). You give us permission to store, process and display it only to provide the service to you, including sending relevant text to the AI providers listed on our Trust & Security page.

We do not use your content to train AI models. We do not share it with other customers.

You confirm you have the right to upload your content and that it does not include classified information, export-controlled technical data, or anything you are not permitted to place on a commercial cloud service. Bids2Bank is not FedRAMP authorized today; see our Trust & Security page for current status.

6. Acceptable use

Do not use the service to break the law, to misrepresent past performance or qualifications to a government agency, to interfere with the service or other customers, to reverse-engineer the service, or to resell it without a written agreement with us. We may suspend an account that does these things.

7. Government data and public sources

Opportunity and award data comes from public government sources such as SAM.gov, Grants.gov, USAspending and the Federal Acquisition Regulation. We present it as received and do not guarantee that it is complete or current. Always confirm deadlines and requirements on the official site.

8. No professional advice

The service provides tools and information, not legal, accounting, or contracting advice. Decisions about whether to bid, what to certify, and how to price are yours. Consult a qualified professional where appropriate.

9. Warranty disclaimer and limit of liability

The service is provided "as is". To the fullest extent the law allows, we disclaim warranties of merchantability, fitness for a particular purpose and non-infringement, and we do not promise the service will be error-free or uninterrupted.

To the fullest extent the law allows, Bids2Bank is not liable for lost profits, lost contracts, lost data, or indirect or consequential damages, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose.

10. Ending the agreement

The workspace owner can delete the workspace at any time from Settings, or you can email privacy@bids2bank.com to close your account. We can end or suspend the agreement if you break these terms or if we discontinue the service, with at least 30 days notice where we can give it. Deleting a workspace removes its uploaded files and content at once; copies in our database backups expire with the backup window. We keep the signed approval and audit records, review decisions, training records and billing records for our audit-record period (target 7 years), or longer where the law requires.

11. Changes to these terms

We may update these terms. If a change is material we will email the account owner or show a notice in the service at least 14 days before it takes effect. Continuing to use the service after that date means you accept the change.

12. Governing law and contact

These terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-law rules. Disputes will be brought in the state or federal courts located in Delaware. Questions about these terms: legal@bids2bank.com.
